Organising a trip for employees

You must be having the most keenly chosen team members, but even the most talented and hardworking employees need some leisure time away from their work. What better way to show your team you appreciate them, by taking them on a short trip? It’s a great gesture, and in our current work culture of lower engagement, these little things might be just what you need to do, to buck up the team’s productivity, morale and teamwork.

Here are five tips that every organisation could follow to organise an effective trip for its employees.

1) Determining what your employees enjoy:
Once you start planning a retreat for your employees first, ask your employees if they are willing to go on a trip with their co-workers? If yes, where would they like to go? Put options in front of them so that you get to know individual and group preferences and accordingly plan a trip. Since there are uncountable opportunities outside your corporate world when it comes to travelling, you must determine what would appeal more to a larger percentage of employees (because obviously, it is difficult to satisfy individual will) during a retreat event. Make your tour ‘a hit’ by choosing the best option possible.

2) Deciding on the Destination: A retreat programme for employees is the most effective when it is designed to suit its audience. It must offer a series of events that create unforgettable experiences for your employees. Of course, it must also be within the company’s budget.

Setting the budget- Travel costs usually function as an investment in terms of an organisation, technically discretionary, but crucial for long-term success. And a good investment should yield a good return. Preparing a travel budget signifies analysing about what your company can afford to spare in the short term, and how much of a return those “investments” need to generate to justify the expenditure.

Considering the duration of the Trip- Honestly, there are so many great destinations for a team retreat holiday. By choosing the duration and the dates first, it allows you to narrow down choices. Suppose, if it is winters, so you can plan to go to Munnar in Kerala, Jaipur – Udaipur in Rajasthan or why not Auli in Uttarakhand to create thrill for that matter.

3) Selecting a reliable travel Company: To choose a reliable travel company you need to follow the below steps:

Research: Start by researching about the travel companies you know. Beyond the company’s website, check their social media handles such as Facebook and Instagram. Check photos of tours they’ve posted and reviews that travellers have left.
Shorten the list and select the best: Deciding the top 3 tour companies, that you will like to choose from, won’t be difficult if you know what you’re looking for. Give the tour companies a call or shoot them an email, mentioning your requirements and dates of your travel.
Once you have your list, it is time to compare and weigh the pros and cons of each of them. One tour company might be able to offer something that the other might not. Compare costs and group sizes and land on a conclusion.

4) Analysing activity opportunities and balanced itinerary with the travel company: A good travel and tour company is known for working with the guests and travelling with them at every step on the way. It should guide you in planning your itinerary and advise you on the best departure times based on your place of origin. They’ll always be there at your service, be it, greeting you at the airport or handle all your transportation needs. Their priority is to keep you safe at all times and most importantly, help you have an incredible experience.

5) Creating an experience: the purpose of the travelling retreat should be to create life-long experiences. The whole trip must be designed in a way that it creates an experience that no one else can provide. The moments which can be cherished lifetime are to be on the priority list of the organiser.
